Everything you need to know about setting up and using Doctle — from onboarding to annual renewals.

🚀 Getting Started

New to Doctle? Start here to set up your clinic in under 10 minutes.

Step-by-step signup process:

  1. Visit doctle.in and click "Get Started" or contact us on WhatsApp
  2. Choose your plan (Early Bird, Regular, or Free for Students)
  3. Enter your clinic details: name, specialty, address, phone number
  4. Verify your phone number via OTP
  5. Complete payment via PhonePe (UPI)
  6. You'll receive instant access to your dashboard

Pro Tip: Have your clinic registration documents handy for faster verification.

After successful signup, you'll be redirected to your Dashboard where you can:

  1. Set up your profile: Add your photo, bio, qualifications, services
  2. Generate your QR code: Download and print it for your reception desk
  3. Customize token settings: Set token amount, consultation fee, operating hours
  4. Test the patient flow: Scan your QR code yourself to see how patients book tokens

Estimated setup time: 5-10 minutes

Your dashboard has 5 main sections:

  • Today's Queue: See all patients who booked tokens today, their status, and estimated wait times
  • Profile Editor: Update clinic info, photos, services, and operating hours
  • QR Code Manager: Download, print, or regenerate your QR code
  • Analytics: View visitor stats, booking trends, and no-show rates
  • Settings: Billing, notifications, account security

👤 Profile Management

Keep your clinic information up-to-date and professional.

To update your clinic information:

  1. Log in to your dashboard
  2. Click "Profile" in the top menu
  3. Click "Edit Profile"
  4. Update: clinic name, specialty, address, operating hours, about section, services, consultation fees
  5. Click "Save Changes"

Note: Changes to your profile are reflected on your public page within 2 minutes.

Adding/updating photos:

  1. Go to Profile → Edit Profile
  2. Scroll to "Clinic Photos" section
  3. Click "Upload Photo" or drag-and-drop
  4. Supported formats: JPG, PNG (max 5MB per image)
  5. You can upload up to 5 photos (clinic exterior, waiting room, consultation room)

Pro Tip: High quality photos build trust. Show a clean, well-lit clinic environment.

🎫 Token & Queue System

Understanding how the token booking and queue management works.

Token booking flow for patients:

  1. Patient scans your QR code or visits your Doctle link
  2. Patient enters name and phone number
  3. Patient books a token (optionally pays commitment fee if you've enabled it)
  4. Patient receives confirmation via WhatsApp/SMS with token number
  5. Patient can track their queue position in real-time from their phone
  6. When it's their turn, they receive a notification

Queue management for clinic staff:

  1. Open your dashboard on any device (phone, tablet, computer)
  2. See "Today's Queue" with all booked patients
  3. When a patient arrives, mark them as "Arrived"
  4. When consultation starts, mark as "In Consultation"
  5. After consultation, mark as "Completed"
  6. If patient doesn't show up, mark as "No Show"

Patients automatically receive updates at each stage.

💳 Billing & Subscriptions

Managing your subscription, payments, and renewals.

  1. Go to Settings → Billing
  2. Click "Update Payment Method"
  3. Enter your new UPI ID
  4. Verify with a ₹1 test transaction (refunded immediately)
  5. Save changes

Note: We only accept UPI payments via PhonePe. Credit/debit cards are not supported.

  1. 14 days before renewal: You'll receive an email reminder
  2. 7 days before renewal: Second reminder with invoice preview
  3. Renewal date: Automatic payment via your saved UPI ID
  4. If payment succeeds, you'll receive a confirmation and updated invoice
  5. If payment fails, we'll retry for 7 days before suspending access

Pro Tip: Ensure your UPI ID has sufficient balance 2-3 days before renewal to avoid interruptions.

💬 Patient Communications

Managing WhatsApp/SMS notifications and patient messages.

Automatic notifications sent to patients:

  • Booking Confirmation: Immediately after token booking with token number and estimated wait time
  • Your Turn Soon: When 2-3 patients ahead in queue
  • Your Turn Now: When it's their turn to see the doctor
  • Reminder (optional): 30 minutes before their slot (if enabled)

Notifications are sent via WhatsApp (if available) or SMS (fallback).
